Detailed Consultation

This is an option you can choose in which a licensed agent will visit the property to provide a more specific pricing range after viewing the condition and amenities of the home.

This meeting is presented to you in person and normally lasts 45 minutes to 1 hour.

The Detailed Consultation meeting includes:

  • An overview of services
  • Property walkthrough
  • Market trend analysis
  • Suggested upgrades and maintenance issues
  • Advice on listing price and current market value

*After the visit, you will have a much better understanding of our services. This consultation is truly beneficial to you while making the decisions about your future leasing and property management needs.


Tenant Placement Service

Here at Coast & Valley Properties, we provide a Leasing Only Service (Tenant Placement) if you would like us to find a quality tenant for your property.

The Tenant Placement Service includes:

  • A thorough consultation
  • Marketing and creative advertising
  • In-house application screening, which includes:
    • Credit check
    • Rental history
    • Employment verification
  • Unlimited showings of your property to potential residents
  • Detailed Owner application review
  • Lease execution and negotiation services
  • Property move-in evaluation with photos
  • Collection of security deposit and first month’s rent
  • Original document package

*After this process, we will then turn the day-to-day management back over to you, or you may elect to add our Residential Property Management Service. Please contact our office for pricing plans.

Residential Property Management Service

If you would prefer to not receive a phone call at 3:00 AM about a leaking water heater or broken furnace, Coast & Valley Properties offers a Monthly Management Service. We will handle all aspects of caring for your property on 24 hours a day, 7 days a week.

The Residential Property Management Service includes:

  • A thorough consultation
  • Annual market analysis
  • Creative marketing and advertising
  • Unlimited showings of your property to potential residents
  • In-house application screening, which includes:
    • Credit check
    • Rental history
    • Employment verification
  • Detailed Owner application review
  • Lease execution and negotiation services
  • Property move-in evaluation with photos
  • Property inspections conducted annually
  • Collection of monthly rent and resident communication
  • Available 24/7 in the event of an emergency
  • Provide and supervise Maintenance
  • Payment of bills including:
    • Mortgage
    • Utilities
    • Insurance
    • Property taxes
    • HOA fees
  • Safe and secure online Owner access
  • Assist and supervise Resident Managers
  • Retain legal services at the Owner’s expense

Commercial Property Management Service

If you would prefer FULL service commercial management Coast & Valley Properties offers a Monthly Management Service. We will handle all aspects of concerning the care of your property at all times (24 hours a day, 7 days a week).

The Commercial Property Management Service includes:

  • A thorough consultation
  • Annual market analysis
  • Creative marketing and advertising
  • Unlimited showings of your property to potential residents
  • In-House application screening, which includes:
    • Credit check
    • Rental history
    • Employment verification
  • A detailed application review
  • Lease execution and negotiation services
  • Property move-in evaluation with photos
  • Available 24/7 in the event of an emergency
  • Billing services: monthly, quarterly or yearly billing as required to tenants
  • Administer & track timely collection of rents and receivables, with online payment option for tenants)
  • Disburse funds to Owners in a timely manner (check or direct deposit)
  • Provide timely payment & accurate posting of the Owner’s expenses
  • Secure proposals for Insurance Policies, Maintenance Services, Reserve Study, Audits, required preventative and routine maintenance items and others as needed
  • Prepare all 1099 forms and reports necessary for Vendors of the Owners
  • Maintain all financial records of the Owner’s and their partners

Financial Reporting

Provide Owner’s monthly financial reports (including but not limited to):

  • Balance Sheet
  • Income Statement
  • General Ledger
  • Accounts Payable Details
  • Aged Owner Report (Delinquent Payments)
  • Bank and Certificate of Deposit Statement Reconciliations

*All of which will be accessible through our owner online portal if you choose.

Prepare Annual Budget

At least sixty (60) days before the beginning of each new fiscal year, assist the Owner in preparation of the Annual and Long Term Budget using comparatives, history, and the Owner’s plans for projects in the upcoming year to create a budget.

Auditing and Taxes

Assist Accountant in performing audits & tax returns.


Administration

  • Post and/or mail all correspondence required by the owner
  • Send late notices to Tenants
  • Establish collection letter to tenants based on Collection Resolution
  • File referrals to the Attorney for collection
  • Document correspondence & actions regarding collections
  • Maintain a database of tenant calls, work or maintenance requests
  • Maintain complete records and files
  • Make tenant documents available online for all tenants
  • Provide 24-hour emergency support as required

Inspect Grounds For Maintenance Needs/Repairs/Violations

  • Monitor Common Areas for maintenance issues
  • Inspections for rules enforcement and maintenance issues
  • Recommend corrective actions as needed
  • Carry out Owner’s decisions to correct outstanding issues
  • Report grounds status to the Owner’s

Provide Contractor Supervision & Review

  • Obtain estimates for Owner’s maintenance items
  • Negotiate best prices and present estimates for review by the Owner’s
  • Make improvements on contracts between the Owners and the Vendors
  • Oversee and manage all contractors
  • Inspect all work prior to payment being issued and enforce the contractual obligation
  • Maintain accurate records of all contracts and payments
  • Seek approval of the Owner’s for changes in the scope of work or costs
  • Issues are documented and reported to the Owner’s on a timely basis along with a recommended course for corrective action

Home Owner Association Property Management Services

Fiscal Billing and Collection

  • Billing services: Monthly, quarterly or yearly billing as required (electronic fund or other specified payment method)
  • Administer and track timely collection of assessments
  • On-line payment option for owners
  • Deposit funds in Association accounts in a timely manner
  • Send late notices to Owners as required per documents
  • Report delinquent accounts to the Board of Directors in a monthly Management Report
  • Establish collection letter schedule based on Collection Resolution
  • File referrals to the Association’s Attorney for collection
  • Document correspondence & actions regarding collections
  • Report status to Board in a monthly Management Report

Financial Services

  • Manage payables for all current Association contracts and vendors
  • Provide timely payment & accurate posting of the Association expenses
  • Secure proposals for Insurance Policies, Maintenance Services, Reserve Study, Audits, required preventative and routine maintenance items and others as needed
  • Generate contracts for the protection of the Association for work to be performed by outside vendors via proposals accepted by the Board
  • Prepare all 1099 forms and reports necessary for vendors of the association
  • Maintain all financial records of the association and its members

Meeting Coordination & Attendance

  • Attend Board Meetings as required
  • Ensure proper notice of meetings to membership
  • Assist President or Board Liaison in preparing an Agenda

Annual & Special Owners Meetings

  • Attend annual and special meetings as required

  • Maintain contact information, phone number/email and respond to inquiries within 2 business days
  • Communicate with Board on a regular basis:
  • Incidents/issues pertaining to the Association
  • Changes in State or Local Association Laws or requirements
  • Provide copies of all owner correspondence as requested

Inspect Homes for Rules/Covenant Violations

  • Inspections for rules enforcement and maintenance issues
  • Violations recorded, corrective actions recommended, and followed through to resolution based on procedures established by the Association. Inspections performed on a monthly basis.
  • Monitor Homes for Sale; ensure violations and delinquencies are identified in the required Resale Packet
  • Maintain records of homes being leased/rented
